data accessEnterprise Scorecard is, in many respects, a fully relational database, with the ability for users to create tables, data entry forms, and reports without needing to resort to programming. As a simple example, you can have form to store details of your products and services, and then you can create another form that uses this information to create customer quotes.

Now use our mobile phone / Android tablet application and you can allow mobile users to create quotes directly into your main database – all without programming! To make it even easier, put in a support request to our developers, and we will set it up for you.

Customisable Forms

Our template designer allows forms with a wide range of sophisticated data-entry controls to be created. Create simple forms with text, number, date, list boxes, and radio buttons controls. These can include rich-text guidance, videos, talking avatars and links to external documentation (such as your business manual). We also provide a number of powerful controls such as grids and trees that allow repeating data structures to be entered, and compound structures (such as “Is you department compliant with company policy X? If not, then why not, and when will you rectify the situation?”).

Forms can contain computed fields and conditional processing, so for example you can easily hide sections of the form which are not relevant in given circumstances.

Also, you may trigger database processing from within your forms. (This does require programming, but we are happy to do this for you if required.)

  • Robust search capabilities allowing searches on any field
  • Keyword search with facility to do prefix and fuzzy searches
  • Filter the search by document extension (Excel, Word, PDF, PPT) and type (Approach Strategy, End Pack, RFP…)
  • Create / edit customizable search filter groups
  • Search Document tagging feature (document can be linked to one or several suppliers, categories, products, etc…)
  • Searchable RSS feeds library.

Mobile Data Application

When you design a form, you can specify that it will be used in a normal PC web browser, or from a small-format mobile web browser. When the forms are used the layout is automatically suitable for the format of the device it is used on.

We also provide an Android application which can download forms (and instructions) from the central web server, so that a user can complete data entry forms without having a reliable internet connection. The application uses the features of the phone/tablet to collect data including:

  • Signatures, for proof of delivery applications
  • Pictures from the on-board camera
  • GPS locations (so sites can be navigated to on future dates)
  • Call, to use the phone
  • Navigate, to use Google navigate to locate a predefined location or postcode

Then when the internet permits, completed forms can be uploaded to the central server for further processing, and fresh forms and instructions downloaded for future use.

Workflow Control

In typical business applications, you will want different parts of forms to be completed (or authorised), by different people. Your system can be easily set up to “route” forms to the appropriate people. So for example a mobile inspection report can be passed to an estimator in head office, authorised by the customer, and then sent as a new instruction to a mobile repair team. We can also ensure that documents can only be seen, edited, or deleted by the appropriately authorised people (or teams). 

Full Edit History

One important feature of the documents that are created from forms, is that Enterprise Scorecard retains a full edit history of the document. Even if the structure of the document has changed, it is possible to see the content of the form at any time in the past, and track who made what changes to the document.

Reporting

Once you have created a form, the system will automatically create a report that allows you to sort, list, and filter information from that collection of forms, and also allow you to print individual documents. In many cases this is adequate. However by using an external query editor, or form designer, it is possible to customise the print documents and reports however you require.

Reports are normally created in HTML for viewing in a web browser, however they may also be delivered in Excel, CSV, or PDF file formats. Reports can be shown in Graphical forms and charts.

Automatic Report and Document Delivery

Enterprise Scorecard contains an engine that allows reports to be embedded into or attached to emails and send on predefined schedules to appropriate recipients.

In addition, once a set of documents have been created, it is possible to periodically email reminders to users asking them to complete the documents that have been assigned to them. Te emails contain hyperlinks directly to the forms, so it is possible to send them to external and anonymous users who would not normally have access to your Intranet. This might be useful for example for conducting a customer satisfaction surveys.

Extensible Data Interface

We have tried to pack as much functionality as possible into Enterprise Scorecard, however there are naturally going to be other systems which you will want to connect to and exchange information with: For example you accounts, customer relationship, and ERP systems. Since Enterprise Scorecard is built on top of Microsoft SQL server, we can use its Integration Services and other direct database links to allow information from external systems to be accessed within Enterprise Scorecard and vice verse. Naturally this does require programming, and we will be happy to discuss this with you!

Enterprise Scorecard is also equipped to communicate with external systems, such as used by your customers and suppliers. This is often done via FTP or secure FTP file exchanges. Alternatively we can link via SOAP and web services to other systems. For example a link is provided to allow real-time exchange rates to be accessible within the system.
